How do I configure and use Scan to E-mail Server?

In order to use the Scan to E-mail Server option, the Brother machine will need to be connected to a network and have access to a POP3 and SMTP server. If you do not have this information, please contact your Internet Service Provider or Network Admin to obtain the information.

 

I: SETUP SCAN TO E-MAIL (E-Mail Server):

 

1. Print the Network Configuration Sheet:

 

  1. Press MENU on the Touchscreen.

 

  1. Press Print Reports.

 

  1. Press the UP OR DOWN ARROW key to press Network Config.

 

  1. Press BLACK START.  The report will print.

 

2. Launch the Web Home Page. Open a web browser on a computer connected to the same network as your Brother machine. In the address line type http://xxx.xxx.xxx.xxx and press ENTER.

 

NOTE: Where XXX.XXX.XXX.XXX is the IP address of the Brother machine listed on the Network Configuration Sheet.

 

3. Click on Network Configuration.

 

-         Default username: admin

 

-         Default password: access

 

4. Click on Configure Protocol.

 

5. Place a check next to POP3/SMTP if it is not already checked, then click Advanced Settings.

 

6. Fill in all the requested information on this page. If you are unsure about any of these settings, contact your Internet Service Provider or Network Admin for support:

 

 

 

-      SMTP Server Address: This field displays the Host Name or IP address of an SMTP mail server (outgoing E-mail Server) on your network. (Ex: smtp.example.net or 192.0.0.1)

 

-      SMTP Port: Specify the destination port number of the SMTP server that you will connect to.

 

-      SMTP Server Authentication Method: Specify the authentication method for the SMTP server. This value determines which type of method is used to authenticate the user to the SMTP server.

 

-      SMTP-AUTH Account Name: Specify a name to be validated with the SMTP server.

 

-      SMTP-AUTH Account Password: Specify a password to be validated with the SMTP server. To set for no password, enter a single space.

 

-      SMTP over SSL/TLS: SMTP over SSL/TLS setting, if you need to send E-mail by using SSL secure communication.

 

o    None: SSL communication will not be used.

 

o    SSL: Communicate securely over the network using SSL.

 

o    TLS: Communicate securely over the network using TLS.

 

o    Verify Server Certificate: Select this checkbox to verify the Server by using the CA Certificate that must be installed when using SSL or TLS.

 

-      Printer E-mail Address: Enter a valid e-mail address assigned by your Internet Service Provider (ISP). This will need to be an address set up uniquely for the Brother Machine. For assistance in setting up an additional e-mail account you will need to contact your ISP.

 

-      POP3 Server Address: This field determines the host name or IP address of the POP3 server (incoming e-mail server). (Ex: pop.example.net -or- 192.0.0.1)

 

-      POP3 Port: Specify the destination port number of the POP3 server that you will connect to.

 

-      Mailbox Name: Specify a mailbox name on the POP3 server where the Internet print jobs are to be retrieved.

 

-      Mailbox Password: Enter it twice for confirmation. Specify a mailbox password on the POP3 server where the Internet print jobs are to be retrieved. To set for no password, enter a single space

 

-      Using APOP: Specify whether APOP is used or not when logging in to the POP3 server.

 

-      POP3 over SSL/TLS: POP3 over SSL/TLS setting, if you need to receive E-mail by using SSL secure communication.

 

o    None: SSL communication will not be used.

 

o    SSL: Communicate securely over the network using SSL.

 

o    TLS: Communicate securely over the network using TLS.

 

o    Verify Server Certificate: Select this checkbox to verify the Server by using the CA Certificate that must be installed when using SSL or TLS.

 

 

-      Segmented Message Timeout: If a print job is separated into multiple email messages using the segmented message feature of the print server, this value indicates how long the print server will wait for all of the segments of the message to arrive.

 

7. Click Submit to save your settings.

 

8. The Test E-mail Send/Receive Configuration page is displayed. You may perform the following tests:

 

a.    Test E-mail Send Configuration: Check Send Test E-Mail and enter the Destination E-Mail Address.

 

b.    Test E-MAIL Receive Configuration.

 

9. Click Submit to test your settings.

 

 

 

II: TO SETUP AND SCAN TO E-MAIL SERVER USING ONE-TOUCH OR SPEED DIAL NUMBERS

 

1. While still within the Web Home Page, click on Fax Settings.

 

2. Click on Address Book.

 

3. Click on One-Touch Dial or Speed Dial.

 

4. For each storage location that you wish to program, enter the following information:

 

 

-         Number: The recipient's email address.

 

-         Name: The recipient's name.

 

-         Type: Select MAIL.  There are several Mail options with various color quality settings.

 

-         Quality: Select the quality of the scan of your choice. The options will vary depending on which Type you selected.

 

-         PDF Type: If you selected a PDF option under Type, then you will need to select a PDF Type.  The options are PDF, PDF/A, Secure PDF, and Signed PDF.

 

-         Groups: Choose this option if you would like to add One-Touch or Speed Dial members into a Group.

 

5. Click SUBMIT.

 

 

 

III: SCAN TO E-MAIL SERVER WITHOUT USING ONE-TOUCH OR SPEED DIAL NUMBERS:

 

1. Place a document face up in the Automatic Document Feeder (ADF) or face down on the Scanner glass.

 

2. Press the SCAN button on the Brother machine.

 

3. Press Scan To E-Mail.

 

4. Enter the destination E-mail address.  Do one of the following:

 

-         Press Manual to enter the E-mail manually and continue to STEP 5.

 

-         Press Address Book if you have stored the E-mail address to the machine's address book.  Continue to STEP 6.

 

5. Enter the E-mail address.  Press the A1@ key to choose numbers, letters or special characters.  Press OK and continue to STEP 7.

 

6. Press the UP OR DOWN ARROW Key to select the E-mail address and then press OK.  Continue to STEP 7.

 

7. Press the LEFT OR RIGHT ARROW Key to display and then press Quality.

 

8. Press the Quality that you want and then do one of the following:

 

-         If you want to change the file type, continue to STEP 9.

 

-         Press Black Start or Color Start to start scanning without changing additional settings.  Continue to STEP 17.

 

9. Press the LEFT OR RIGHT ARROW Key to display and press File Type.

 

10. Press the File Type that you want and then do one of the following:

 

-         If you want to change the duplex setting, continue to STEP 11.

 

-         Press Black Start or Color Start to start scanning without changing additional settings.  Continue to STEP 17.

 

11. Press the LEFT OR RIGHT ARROW Key to display and press Duplex Scan.

 

12. Press one of the duplex options: Off, DuplexScan: LongEdge, or DuplexScan: ShortEdge.  Do one of the following:

 

-      If you want to change the scanner glass setting, continue to STEP 13.

 

-      Press Black Start or Color Start to start scanning without changing additional settings.  Continue to STEP 17.

 

13. Press the LEFT OR RIGHT ARROW Key to display and press Glass Scan Size.

 

NOTE: Glass Scan Size is not available when using the Automatic Document Feeder (ADF).

 

14. Press the Glass Scan Size setting that you want and then do one of the following:

 

-      If you choose color or gray in the resolution setting, continue to STEP 15.

 

-      Press Black Start or Color Start to start scanning without changing additional settings.  Continue to STEP 17.

 

15. Press the LEFT OR RIGHT ARROW Key to display and press File Size.

 

16. Press the File Size setting that you want and then press Black Start or Color Start to start scanning.

 

NOTE: If you want to add destinations, press Number of Destinations.  You can add a total of 50 destinations.

 

17. The machine starts the scanning process.  If you are using the scanner glass, the LCD displays Next Page?.  Press Yes or No.
