How do I create and transfer/download my label template with database to the machine in Editor 5.x?

In order to import a database into the P-touch Editor 5.0, the database file needs to be in an MDB, XLS, CSV or TXT format.

 

1. Open a new layout in P-touch Editor.

 

a. Open a new layout by clicking on the New/Open icon.

b. In the “New/Open” dialogue box click on the Media size drop down menu arrow and select the size of the label.

c. Click on the New tab and select the orientation Horizontal or Vertical.

d. Click OK.

         

 

 

 

2. Select the database file containing the data you wish to put onto the label.  In the menu bar, click on File; go down to Database and select Connect.

 

 

3. Click on Browse in the “Open Database” dialogue box.

 

    

4. Locate the database file in the “Open Database” dialogue box and then click Open.

 

    

5. After clinking “Open”, the selected file location and name will appear in the “File Name” box.  In the “Select Editing Mode” section, select “Connect as read only.” or “Connect to original file and allow editing.” and then click Next.

 

6. After clinking “Next”, the selected database file will open up in the P-touch Editor 5.0.

 

    

7. Connect the fields (Jointing the fields) that you wish to go onto the label.  By connecting the fields together this will allow us to have one format for all the connected fields; the text on the label will be uniform. This does not change the columns of the database.  If you do not connect the fields, each field can have individual format (font type, font size, font style, etc.).

 

Note: This step is optional, if you do not wish to joint any fields together, go to step 13.

 

a. Click on a record on the database table.  Note that the options in the menu bar have changed

 

b. In the menu bar, click on Database and select Connect Fields.

 

8. In the “Define Joined Fields” dialogue box, click Add.

 

         

9. Select the fields you wish to join together.

a. Click on the first field you want to join.

b. Click Add

 

10. Select your next field and click Add.

 

Note: You can use “spaces”, “,”, and “Enter” to arrange the fields.  For example, put a space between “First Name” and “Last Name”.  After “Last Name” press the Enter key to go to the next line to add the “Company” field.

 

 

 

 

 

 

11. Continue adding all fields you desire to join together, click OK when you are finish.

 

12. After clicking “OK” the “Define Joined Fields” dialogue box will appear with the fields you have selected, Click Close.

 

                   

 

 

 

 

 

 

 

13. In the menu bar, click on Database and select Merge into Layout.

 

a. In the “Merge Fields” dialogue box, select the “Jointed Fields”.

 

Note: If you do not have a “Jointed Fields”, select a database field that you wish to place on the label layout.

 

b. For “Merge Type” select Text.

c. Click OK.

 

14. After clicking “OK” an image of a record appears on the layout.  Click on the line border around the image, eight boxes will appear on the border.  At this point you can click on one of the boxes, keep the mouse button down and move it to resize the border.   If you wish to add more database fields, repeat step 13.

 

  

 

 

 

 

 

15. Add a POSTNET barcode to the layout. 

a. Click on a record on the database table.

b. In the menu bar, click on Database and select Merge into Layout.

 

16. Select the field for the “Zip Code” and merge onto the label layout.

a. In the “Merge Fields” dialogue box, select Zip.

b. For “Merge Type” select Bar Code.

c. Click OK.

 

              

17. After clicking “OK” a barcode appear on the layout.  It may not be the correct barcode type. 

To change the barcode type:

a. Click on the barcode on the layout.

b. Click on the Properties icon.

 

18. Change the Barcode type to “POSTNET”.

a. In the “Bar Code Properties” dialogue box, click on the Protocol tap.

b. Select the POSTNET protocol.

c. Click OK.

 

              

 

19. After clicking “OK” it will bring you back to the P-touch Editor 5.0 window. In this view, you can reposition the barcode on the layout.  Click on it, do not release the button and move the mouse with the button held down.

 

 

20. Save the layout, click on File in the menu bar and select Save

 

    

a. In the “Save” dialogue box, for “File name:” type in a name for the new layout.

b. In “Save as type:” select “Layout File (*.lbx)”.

c. Click Save.

 

Note: Once you saved the layout, whenever you open the saved layout, it will also open the database file. 

 

21. To transfer the label layout and database to the machine, ensure the P-touch machine is in the “Transfer” mode; there should be an image of a PC and an image of the P-touch machine on the display.  If not, turn off the machine.  Hold down the Code key, while holding down the Code key press the On/Off once and then release the Code key.

 

22. With the layout and database files opened in Editor 5.0 Express mode, click on File and select Transfer Template.  The P-touch Transfer Manager window will be open.

 

23. In the “P-touch Transfer Manager” window it will have the “Name, Size, Type, Date, and Key Assign” of the label layout, all in a single row.  The “Key Assign (PF#)” is the location where the layout will be downloaded to the P-touch machine.  To change the location, click on the layout name so that the row is highlighted.  Right click the mouse button, go down to Key Assign, and then select a location.  There are 10 locations PF 0-9.

 

24. Hold down the PC keyboard Control key and click on the database file name so that the row is highlighted.  With the layout and database rows highlighted, click on the Transfer icon in the Command bar and a dialog box will appear.  If the Transfer icon is gray out, no Transfer icon, or nothing occur, ensure the P-touch machine is in the Transfer mode.

 

Select 25. Click OK to send the layout and database files to the P-touch machine.  A dialog box will appear indicating that the unit is operating.

 

26. When it is finish downloading the files, a dialog box will appear indicating that it was completed.  Click OK to close the dialog box.
