How do I configure and use Scan to E-mail Server?

In order to use the Scan to E-mail Server option, the Brother machine will need to be connected to a network and have access to a POP3 and SMTP server. If you do not have this information, please contact your Internet Service Provider or Network Admin to obtain the information.

 

Note: Ensure that there are no Network Firewall or security settings that will prevent communication from the Brother machine. Contact your Network Admin for assistance with configuring your Network Firewall's settings.

 

SETUP SCAN TO E-MAIL (E-Mail Server):

1.    Press the TOOL/Settings  icon (scanner's LCD/control panel) => scroll down and Press Initial Setup => Press Date & Time and ensure the Date & Time are the same as PCs Date & Time (if different, Press the Date and/or Time to change it by following the LCD prompt steps)

2.    Press the TOOL/Settings  icon => select Network  => select WLAN (Wireless connection) or Wired LAN (ADS-2500W only) => select TCP/IP

 

3.    Launch the Web Home Page. Open a web browser on a computer connected to the same network as your Brother machine. In the address line type http://xxx.xxx.xxx.xxx and press ENTER.

 

NOTE: Where XXX.XXX.XXX.XXX is the IP address of the Brother machine listed on the step 2 above.

  1. No password is required by default. Enter a password if you have set one and press the Right arrow key.

5.    Click the Network tab at the top of the page

 

6.    Click Protocol, Advanced Setting of POP3/SMTP and make sure that the status of POP3/SMTP is Enabled (checked)

 

7.    Fill in all the requested information on this page. If you are unsure about any of these settings, contact your Internet Service Provider or Network Admin for support:

 

a. SMTP Server Address: This field displays the Host Name or IP address of an SMTP mail server (outgoing E-mail Server) on your network. (Ex: smtp.example.net or 192.0.0.1)

 

b. SMTP Port: Specify the destination port number of the SMTP server that you will connect to.

 

c. SMTP Server Authentication Method: Specify the authentication method for the SMTP server. This value determines which type of method is used to authenticate the user to the SMTP server.

 

d. SMTP-AUTH Account Name: Specify a name to be validated with the SMTP server.

 

e. SMTP-AUTH Account Password: Specify a password to be validated with the SMTP server. To set for no password, enter a single space.

 

f. SMTP over SSL/TLS: SMTP over SSL/TLS setting, if you need to send E-mail by using SSL secure communication.

 

1.    None: SSL communication will not be used.

2.    SSL: Communicate securely over the network using SSL.

3.    TLS: Communicate securely over the network using TLS.

4.    Verify Server Certificate: Select this checkbox to verify the Server by using the CA Certificate that must be installed when using SSL or TLS.

 

g. Device E-mail Address: Enter a valid e-mail address assigned by your Internet Service Provider (ISP). This will need to be an address set up uniquely for the Brother Machine. For assistance in setting up an additional e-mail account you will need to contact your ISP.

 

Note: If you get a message stating the entered email; address is not valid, please confirm you have entered it correctly and that it is a valid working email address.

 

h. POP3 Server Address: This field determines the host name or IP address of the POP3 server (incoming e-mail server). (Ex: pop.example.net -or- 192.0.0.1)

 

i. POP3 Port: Specify the destination port number of the POP3 server that you will connect to.

 

j. Mailbox Name: Specify a mailbox name on the POP3 server where the Internet print jobs are to be retrieved.

 

k. Mailbox Password: Enter it twice for confirmation. Specify a mailbox password on the POP3 server where the Internet print jobs are to be retrieved. To set for no password, enter a single space

 

l. Using APOP: Specify whether APOP is used or not when logging in to the POP3 server.

 

m. POP3 over SSL/TLS: POP3 over SSL/TLS setting, if you need to receive E-mail by using SSL secure communication.

 

1.    None: SSL communication will not be used.

2.    SSL: Communicate securely over the network using SSL.

3.    TLS: Communicate securely over the network using TLS.

4.    Verify Server Certificate: Select this checkbox to verify the Server by using the CA Certificate that must be installed when using SSL or TLS.

 

n. Segmented Message Timeout: If a print job is separated into multiple email messages using the segmented message feature of the print server, this value indicates how long the print server will wait for all of the segments of the message to arrive.

  1. Configure and change the following settings.

a)    To correspond to OP25B, enter 587. Default is 25.

b)    Select the authentication method specified by your provider.
For example: SMTP-AUTH

c)    Input your account name for the SMTP server.
For example: brother_ifax

d)    Input your password for the SMTP server.

 

9.    Click Submit.

10. The Test E-mail Send/Receive Configuration page is displayed. You may perform the following tests:

a)    Test E-mail Send Configuration: Check Send Test E-Mail and enter the Destination E-Mail Address.

 

b)    Test E-MAIL Receive Configuration.
