How do I scan a receipt with the BR Receipts software?

NOTE: An account must be created and a serial number from the machine must be entered in order to get access to the download.

If you would like to view a video of this process, please click HEREOnce the software has been installed, please do the following:

1.  Click on the icon to launch the program.


2.  You can choose File => Scan Settings to display the setting box below or just click the scan button on the main menu if you wish to use scan defaults.

This box allows you to set the default scan properties.  These settings need only to be set once unless you wish to change the scan method.

You may choose QUICK SCAN to accept the scanning defaults shown above or choose Scan With TWAIN User Interface to customize the options listed above.

In this example below we are using Quick Scan with the default settings.

NOTE:  The option to use a carrier sheet is available if you feel the receipt is not useable as is due to wrinkles or tears choose this box to use the carrier sheet.. 

Place the receipt in the carrier sheet and click the check box before initiating a scan.


3.  To begin, place a receipt in the scanner face up and click the Scan icon.

4.  Once scanning is complete you will be asking if you wish to use a predefined template or manually enter the data.

5.  If you would like to use a predefined template click the dropdown and chose the appropate vendor from the list.

6.  If there is no matching vendor, you can create a new template by clicking the radio button and clicking OK to continue.

7.  If you would like to manually enter the data choose manually input later.

8.   If you would like to always choose this way; then click the box, apply to all.


9.  Click OK to continue.  The Manual method is described below.

In the far right pane above the receipt image are a few tools.

Listed in order from left to right:

1.       Hand  Movement tool to move the receipt image.

2.       Crop  Crops the image to the desired size.

3.       Deskew  Aligns the image.

4.       Rotate  Rotates the image.

5.       Recognize  Sets up the recognition fields.

6.       Undo  Undo the last command

7.       Redo  Perform the same command again.

These tools will be used when creating a new template or adjusting the OCR field area.

This software will capture 5 areas on the receipt.

1.       Date

2.       Vendor

3.       Payment Type

4.       Sales Tax

5.       Amount

10.  On the receipt, choose the RECOGNIZE tool, and draw a box around the data to be captured.


11.  Right Click in the box and choose which of the 5 data types applies to the selected area.

In this case it would be VENDOR.

The OCR engine will return its results, please make any changes needed or accept by clicking OK.

Click OK.

Continue to the next field.

12.   Draw a box around the date field on the receipt.

Right Click and assign this field as RECEIPT DATE.

You may have to manually change the date in the verification area if the OCR engine does not recognize the data.

Continue to the next field.

13.  Draw a box around the payment type.

Right Click on Payment type to set this field.

Continue to the next field.

14.  Draw a box around the Amount.

Right Click and choose Amount to set this field, or make any necessary changes and click OK.


NOTE:  The sales tax was not present in our example.  If present you may also scan the sales tax field.


15.  Once all 5 fields have been programmed and recognized, look in the Data Verification Area to validate the receipt data.

You have additional options in this area.

1.       You can select a category for this receipt type, click the drop down and choose an appropriate item from the list or type in your own.

2.       The comments box allows you to describe the receipt which will aid in searches in case you need to access it for a certain item or large purchase in the case of warranty or proof of purchase.

3.       The reimbursable check box allows you to designate if this is a reimbursable expense.

4.       The Verified check box is used to indicate that you have examined the receipt data and are satisfied that it is correct. 

a)      Placing a check in this box will cause a green checkmark to appear in the data area. 

b)      If you use the drop down above the data area and change it from ALL to UNVERIFIED, then the receipts that you have checked will not be displayed.

c)       To view all receipt data, return the drop down to ALL.

d)      To view all recently scanned receipts that have not been verified, choose Recently Added.


16.  The scan is now complete; the data area will be populated with the receipt data.

17.  If you have another receipt to scan, place it in the scanner and begin this process once more by clicking on the scan icon.
